About the role
Job Summary
To coordinate and manage all tenant fit-out activities in the shopping mall, ensuring compliance with mall regulations, authority requirements, approved designs, and GreenRE / sustainability standards.
The incumbent will liaise with tenants, contractors, consultants, and internal departments (Leasing, Marketing, Operations, and Security) to ensure smooth handover, fit-out execution, operational readiness of premises, and support Mall upgrading and enhancement projects, while enforcing energy efficiency and sustainability requirements at the tenant lot level.
Key Responsibilities
A. Tenant Fit-Out Coordination
- Conduct fit-out meetings with tenants and contractors to familiarize them with:

Site conditions

Mall rules and regulations

Authority requirements and approvals
- Work closely with internal departments (Leasing, Marketing, Operations, Security) on:

Prospective tenants and upcoming openings
-
Tenant fit-out schedules, handover dates, and special requests
-
Outgoing tenants and vacant possession handovers
-
Conduct proper handovers of premises to new tenants and manage opening and vacant possession from outgoing tenants.

Provide tenant and contractor information to relevant departments for smooth coordination and support.
B. Design & Drawing Review

Review architectural drawings, M&E drawings, and interior design concept submissions.

Highlight any design or compliance concerns and propose best practices.

Guide tenants in refining retail shop designs and concepts to align with Mall theme, brand identity, and sustainability requirements.

Coordinate with Facilities/Operations department to ensure tenant M&E submissions are approved and resolve technical issues (e.g., electrical, air-conditioning, sprinkler systems).
C. Documentation & Compliance
- Ensure all required documents are in place prior to handover and commencement of works, including:

Approved concept and M&E plans

Insurance coverage
-
Work schedules and permits
- Monitor fit-out progress and work with Security & Safety teams to ensure renovation complies with:

Approved submissions
-
Material usage standards
-
Safe construction methods
-
Accurate as-built documentation
- Assist Operations in follow-up matters such as work permits for works within tenant outlets.
D. Project & Upgrading Support

Collaborate with Project team, consultants, engineers, suppliers, and contractors for Mall upgrading and enhancement projects.

Provide technical and operational support during renovation projects to ensure timelines, quality, and safety standards are met.
E. GreenRE / Sustainability Compliance (Tenant Lot Level)

Ensure new tenant fit outs comply with GreenRE and energy efficiency requirements.

Advise tenants and contractors on:

Energy-saving lighting and electrical systems

HVAC efficiency and load optimization
-
Sustainable materials and construction methods
-
Water efficiency and waste reduction
-
Review tenant design and M&E submissions to confirm alignment with GreenRE / sustainability standards.

Assist Management in monitoring tenant compliance during construction and handover, including verification of as-built installations.

Support preparation of documentation for GreenRE certification, energy audits, or sustainability reporting.

Promote awareness of environmental responsibility and energy efficiency among tenants, contractors, and internal teams.
Key Requirements
The candidate’s job location will be at Johor Bahru City Square Mall.
- Diploma or Degree in Architecture, Interior Design, Civil / Mechanical / Electrical Engineering, or equivalent.
- Minimum 3–5 years of experience in fit-out coordination or project management, preferably in commercial or retail developments.
- Knowledge of building regulations, authority requirements, safety, and sustainability standards (GreenRE preferred).
- Ability to review architectural and M&E drawings and provide constructive feedback.
- Strong project coordination, time management, and stakeholder communication skills.
- Computer literate (MS Office, AutoCAD, project management tools).
- Able to work independently and in a team, with flexibility for after-hours work.
- Knowledge of Mall operations, tenant requirements, and safety compliance is preferred.
